Tracking Changes in Your Database

Everyone likes a good story, even one that relates to a database. When you are working with a database that is shared among different users you will eventually see this scene, or perhaps experience it yourself:

You, or someone else, are staring at the computer screen looking at a record that has changed since the last time you looked at it and you mutter to yourself, “Who changed this record?  This is not the same as the last time I looked at it!”

An audit log is like looking at a record through time.  It will let you trace any changes that have been made on a piece of data in your database.  For example, in a contact management system an audit log will let you see address changes over time for a particular person.  You can use an audit log in an ordering system to track changes made to each invoice over time.  It is also an important tool for determining workflow processes. Remember the old adage, “who what when where why and how”.  Who changed this record? What data was changed? When was it changed? Why was it changed?and How?  An audit log can tell you all of these things (except probably the “Why”).

Choose the Right Layout

Ah the good old days!  Back when the status area was vertical, if you wanted to display a particular layout depending on some conditions, then you needed to create your own navigation buttons.  But face it, those buttons were never as good as the native navigation provided by FileMaker.  Thanks to script triggers we can use the built-in navigation buttons and also conditionally display a particular layout.

David Hollander makes databases for medical researchers. He’ll demo a project for managing lab samples that incorporates cool features in FM10 to make it as intuitive and goof-proof as can be. You’ll see how script triggers, conditional formatting, custom menus, and other interface tricks are put to work. Newcomers will come away learning new techniques; and veterans can compare their own favorite methods to David’s.

David Hollander is a longtime active member of the Philly FileMaker User Group, and we’re pleased to have him present.

Anthoni Celini featured in FileMaker Inc. Customer Story

For those of you who attended Anthony Celini’s presentation back in June 2009 (Case Study: FileMaker’s ROI for Oncology Services International), FileMaker Inc. has posted a Customer Story on the project:

“FileMaker 10 helps OSI double growth while cutting costs”

Congrats to OSI and Tony.  For those who didn’t attend our meeting, this was a great integration case study, using NMCI’s Genesis Accounting product and WorldSync SyncDek with FileMaker.

 

Philly FileMaker Blog is one year old…

On the subject of anniversaries, the one year anniversary of this blog passed quietly in early November.  Just want to take a moment to recap our experience with it so far.  Back on Nov 5th 2008, this is how we launched:

“Hello everyone.  I’m starting this blog in tandem with a push to move the Philly FileMaker Developer Group into a more participatory, public space.  Not really sure yet where that will take us.”

We’ve done our best since then to make our user group experience both public and participatory, especially in terms of sharing content with an audience that doesn’t necessarily walk through our physical doors.  In the past year we’ve:

We also had tons of DevCon speakers present to the group this year, including Matt O’Dell (FileMaker Inc), Jesse Barnum (360Works), Ernest Koe (Proof Group), Jason Mundok (IT Solutions Consulting), and Tim Neudecker (Kyologic), as well as MacWorld Expo speaker, author and Applescript guru Ben Waldie (Automated Workflows) and Anthony Celini (CAB Inc).  Thank you!

And a thank you in advance to Molly Connolly (Thorsen Consulting) and Kirk Bowman (Mighty Data), who will present in February and March 2010 respectively.

As far as the blog itself, we’re still working out which of these efforts best serve our core group and the general public, so expect things to continue to change.

But I thought I’d take this opportunity to solicit suggestions from the group and from the public as to what you’d like to see in this space.  You can email me at colin.keee(at)itsolutions-inc.com with anything you’d like to share.
